Administration Officer
The Kotzur Group of companies, incorporating Kotzur Pty Ltd in Walla Walla NSW, and Kotzur Bulk Solids Handling Pty Ltd in Toowoomba Qld, is an Australian market leader in supplying and maintaining bulk solids storage and handling facilities for the agricultural, industrial and commercial sectors.
We are currently looking for a detail-oriented and proactive Administration Officer to join our dynamic Project Management (PM) and our Kotzur Maintenance Services (KMS) team in delivering quality products and services to our clients.
Positive Overview:
We are seeking an experienced and highly organised Administration Officer to carry out the day to day administrative operations of the PM and KMS team. In this role, you will play a key part in ensuring the efficient coordination of project management and maintenance activities, through carrying out the administrative processes that support the team's objectives. This position requires a high level of organisational skills, a proactive approach to problem solving, and the ability to work well under pressure.
Key Responsibilities:
- Supplier sourcing and management: identify, source and negotiate with suppliers of maintenance materials, tools and services.
- Administrative Support: handle all administrative tasks related to maintenance operations, including preparing reports, arranging travel bookings, creating and updating job enquiries, obtaining job analysis reports from the business system, processing purchase orders, processing timesheets and credit card acquittals, raising invoices, involvement in feedback meetings and closing out of jobs, maintaining training, licence and insurance register databases
- Communication: act as a key administrative contact between the teams, suppliers, and other internal departments, ensuring clear and efficient communication
- Problem solving: address any logistical or administration issues that arise and work to resolve them quickly, ensuring minimal disruption to the workflow
Key Requirements:
- Exceptional organisational and time management skills, with the ability to prioritise and multitask
- Proven proactive approach and experience in an administrative or operational role, ideally within a maintenance, or building and construction environment
- Excellent communication skills, both written and oral
- Proficient in Microsoft Office Suite, in particular Excel, Word and Outlook, and other office software
- Strong customer focus (both internal and external)
- Excellent attention to detail
- Ability to work independently and as part of a team
